The Exhibitor Portal – register stand staff/create your visitor list
The Lead Scanning login is used by you, as an exhibitor, to scan visitors at your stand. The visitors’ details are then collected as leads in your exhibitor portal.
The tool is included in your registration fee for one user. If you would like an unlimited number of users, this is available as part of an upgraded registration fee; read more here.
Please note – there is no need to download an app; simply use the login details provided.
Lead Scanning
Create added value for your customers and prospects – build on your network and meet them in person at the trade fair
Log in to the portal and send out the link under ‘guests’ – this will allow your current and potential customers to register for the trade fair free of charge, and they’ll also receive a 50 per cent discount on the conference. When customers use your link, you’ll see this in the exhibitor portal, where you can book meetings ahead of the trade fair. If you wish to purchase conference tickets internally, you can also use the link to get a 50 per cent discount on the conference ticket.
Your username is the email address you provided when booking your stand, and you have chosen your own password. If you have forgotten your password, you can have it sent to you by clicking the “Forgot Password” button.
Under ‘personnel’, you can add the people who will be working on the stand. It is important to do this before the trade fair, so that you can print out the exhibitor badges smoothly on arrival on the set-up day. Under “guests”, you can invite your existing and potential customers to the trade fair. Visitors who have registered via your personal link will be listed in your exhibitor portal.

Exhibitor training
Here are some tips on how to make the most of your trade fair visit!
Includes a checklist and ideas on how to attract visitors to your stand.
Succeeding in our meeting places
Use our tips to get the most out of your participation
Meeting people face to face is one of the most effective forms of marketing and relationship-building. With a well-thought-out plan, your participation can strengthen your brand, create new business opportunities and deliver tangible results. Success requires both our efforts as organisers and your active involvement before, during and after the trade fair.
Here you’ll find tips to help you prepare and make the most of all the opportunities our venues have to offer. Set clear goals, make use of the tools and services we provide, and be proactive in your networking – this will increase your chances of leaving the trade fair with both new contacts and new business opportunities.
Set goals and plan for success
A successful trade fair appearance starts with clear objectives and a well-thought-out plan. The objectives should be realistic, measurable and known to everyone in the team. Consider what is most important to you – sales, new contacts, brand-building or product launches – and let that guide your activities. Once the objectives are set, plan how you will achieve them. Think carefully about what you want to say, how you’ll make your presence felt and how you’ll engage visitors. The better the preparation, the better the results.
Things to bear in mind:
- Set measurable targets, such as the number of leads, strengthening relationships with existing customers, new contacts, brand awareness or sales
- Formulate a clear message and plan activities for the stand
- Ensure that staff are informed and committed
- Decide how you will follow up before the trade fair even begins
Create activities at your stand that attract visitors
An interactive stand attracts more visitors and gives you the chance to have meaningful conversations. Choose activities that support your objectives and give visitors a reason to stay and talk to you. Feel free to promote the activities in advance.
Promote your stand on social media
Social media is a powerful channel for building anticipation and driving footfall to your stand. Start communicating well in advance of the trade fair and be clear about what visitors can expect to experience at your stand.
- Tell us that you’re exhibiting and what’s happening at your stand
- Showcase activities, offers and news
- Tag the trade fair’s account or link to its website
- Post photos and videos during the exhibition
Invite your customers and contacts
We’re running a wide-ranging marketing campaign for the entire trade fair, but you are the key link to your own customers and your network. Inviting them personally increases the likelihood that they’ll make a point of visiting your stand in particular.
- Invite your customers and prospective clients in person
- Invite visitors using a unique link: You can find your personal guest link via the exhibitor portal. When your customers or prospects use it, they can register for the trade fair free of charge and also receive a 50% discount on the conference ticket.
- Access your leads: In the exhibitor portal, you’ll also find the contact details of everyone you’ve scanned at your stand using your lead-scanning tool – perfect for quick and effective follow-up after the trade fair.
Succeeding on the spot
The way the stand is staffed has a major impact on the outcome. The staff are your public face; their energy and enthusiasm are immediately apparent to visitors. Make sure that everyone manning the stand knows what the objective is and how they should interact with visitors.
Don’t forget the follow-up
The trade fair isn’t over when the last visitor goes home – that’s when the most important work begins. Contacts are perishable, and a prompt follow-up increases the chance that the meeting will lead to a deal or collaboration.
- Review the leads you have collected
- Contact the key people
- Share photos and content from your stand on your social media channels
- Evaluate the results and document the lessons learnt for next time
